Electronic Timesheet Approval Process

  1. Payroll -> Timesheet Approval -> Click on drop down and select your department batch.  Click on “Select Timesheets” step.
  2. The employees that are included in your department will be listed.  Select the employees that you will be reviewing.
  3. Click “Save”.  NOTE:  The selected timesheets are now closed off for any additional employee data entry through their ESS.
  4. Click on “Timesheets” step.  The employees you selected will be listed.  Review each one by highlighting their line and clicking “Modify”.
  5. All the time they entered will be shown.  If all looks okay, “Exit” out of their timesheet.  Then review the next person. Note:  If corrections are need during review:  Open the particular day that needs corrections [Modify] and enter the correction, including a notation of your change.  Exit out of that particular day and then click “Save”.
  6. Once everyone has been reviewed, “Exit” out of the “Timesheets” step.
  7. Click on “Proof List” step and then click “Print”.  Go to “Scheduled Jobs” and wait for print preview process to finish.  You may have to “Refresh” a few times.  Once the job is complete, open the report.  All selected employees and their time will be shown on this report and it is an additional chance to review.  There isn’t a need to print this report. NOTE:  Other employees in the department that you have not selected to review will also be listed with “0” time entered.  You can ignore the listing of employees you are not reviewing.
  8. If all looks okay, click on “Commit”.  The timesheets are now ready for payroll processing.
