OnSIP Phone System – End User Quick Guide (Polycom Phones)

This one‑page guide covers the most common tasks you’ll use on Polycom desk phones with the OnSIP phone system. Button labels may vary slightly by model, but the steps are the same.



Making a Call

  • Internal call: Dial the 4 digit extension.

  • External call: Dial the phone number directly (example: 831 555 1234).

  • Redial: Press the Redial button or softkey.


Answering a Call

  • Lift the handset, press Speaker, or press the Answer softkey.


Placing a Call on Hold

  • Press the Hold button.

  • To return, press the Resume softkey or the flashing line key.


Transferring a Call

Blind Transfer (no introduction)

  1. Press Transfer.

  2. Dial the extension or phone number.

  3. Press Transfer again or hang up.

Warm Transfer (with introduction)

  1. Press Transfer.

  2. Dial the extension or phone number.

  3. Wait for the person to answer and announce the call.

  4. Press Transfer again to complete.


Sending a Call to Voicemail

  • Transfer the call to the person’s extension, then hang up.

  • If the phone is unanswered, it will go to voicemail automatically.


Checking Voicemail

From Your Polycom Phone

  1. Press the Messages button (envelope icon).

  2. Enter your voicemail PIN when prompted.

From Another Phone

  1. Dial your extension.

  2. Press * during your voicemail greeting.

  3. Enter your PIN.


Do Not Disturb (DND)

  • Press the DND softkey to turn it on or off.

  • When DND is enabled, calls go directly to voicemail.


Conference Calling (3‑Way)

  1. While on a call, press Conference.

  2. Dial the next number.

  3. Press Conference again to join all callers.


Need Help?

  • Restart the phone by unplugging it for 10 seconds.

  • Check that the handset or headset is securely connected.

  • Contact IT / Admin if problems continue.
